Accounts Receivable Follow-Up

Chases overdue invoices on a schedule, and knows which ones to stop chasing.

n8nQuickBooksEscalation
The n8n canvas for the accounts receivable sequence: QuickBooks intake, normalisation, enrichment, a four-way stage router, and Gmail, language-model and Telegram branches that each log back.

The build

Overdue invoices come out of QuickBooks daily, are normalised into one shape, then enriched with the client's relationship tier before a scoring step weighs days overdue against invoice size. The router branches four ways — too early, gentle reminder, payment plan offer, escalate — and every branch checks the send history first, so a daily re-run never chases the same client twice for the same stage. A VIP account gets more patience before the tone shifts; a larger balance moves faster. Payment matching needed no logic at all: a paid invoice stops meeting the overdue criteria and drops out on its own.
